Introduction

We are seeking a highly organized and detail-oriented Materials Coordinator to support the efficient planning, tracking, and distribution of materials for a large-scale smelting or refinery project. This role is pivotal in ensuring the timely availability and delivery of all construction materials, equipment, and consumables in accordance with project timelines and quality standards.

The Materials Coordinator will be responsible for coordinating with procurement, warehouse, logistics, construction, and vendor teams to monitor material status, resolve delivery issues, and maintain accurate records. The role involves reviewing material requisitions, verifying documentation, ensuring proper tagging and preservation of materials, and facilitating on-site allocation to support uninterrupted construction activities.

What are you going to do 

  • Coordinate material planning and ensure the timely availability of required construction materials in accordance with project schedules.

  • Interface daily with procurement, logistics, warehouse, QA/QC, and construction teams to monitor material movement and resolve bottlenecks or delivery delays.

  • Track material requisitions (MR), purchase orders (PO), and material receiving reports (MRR) to ensure completeness and accuracy of documentation.

  • Verify and inspect incoming materials for conformity with technical specifications, including quality checks, certifications, and damage reports.

  • Maintain and update material tracking registers, logs, and inventory databases using relevant ERP systems or project platforms (e.g., SAP, SmartPlant, etc.).

  • Coordinate tagging, labeling, and preservation of materials as per project requirements and ensure proper storage conditions are met at laydown areas and warehouses.

  • Support the development and maintenance of material issuance procedures, including allocation to specific work packages or construction areas.

  • Monitor surplus, excess, and unused material stock for reallocation or return and prepare related reports and documentation.

  • Ensure all material handling, transportation, and storage activities comply with HSE standards and company policies.

  • Liaise with vendors and third-party logistics providers to track deliveries, manage customs clearance (if applicable), and resolve any discrepancies.

  • Participate in regular coordination meetings with construction, procurement, and warehouse teams to align material availability with installation priorities.

  • Assist in preparing weekly and monthly reports on material status, shortages, critical items, and consumption forecasts.

  • Flag any material risks or potential delays to project control or construction managers and recommend mitigation actions.

Essential skills and knowledge 

  • Indonesia citizenship
  • Minimum 8 years of experience as a Materials Coordinator or in a similar role within large-scale industrial projects (preferably smelting, refinery, or heavy process industries).

  • Proven experience in handling mechanical, piping, and electrical materials.

  • Familiar with material management systems and tools (e.g., SAP, SmartPlant Materials, or other ERP systems).

  • Strong understanding of procurement processes, material tracking, warehousing, and logistics.

  • Good knowledge of construction material specifications and quality documentation.

  • Demonstrated ability to work collaboratively with cross-functional teams (procurement, warehouse, construction, vendors).

  • Proficiency in Microsoft Excel and reporting tools for tracking and analysis.

  • Good command of English, both written and spoken.

  • Strong organizational, analytical, and problem-solving skills.

  • Excellent communication and coordination abilities.

  • Able to work in remote site/project locations under a rotational schedule.

  • Possess a diploma or bachelor's degree in engineering, logistics, supply chain, or a related field.

  • Familiarity with HSE requirements in material handling and site operations.
