About this role

We are seeking a proactive and detail-oriented Project Control Coordinator to support the successful delivery of oilfield equipment supply and fabrication projects. This role is crucial to ensuring smooth coordination across documentation, procurement, cost tracking, and logistics in a fast-paced environment.

Key Responsibilities:

Documentation Management:

  • Maintain and organize all project-related documentation, ensuring compliance with internal procedures and client standards.
  • Implement version control and ensure accessibility for all stakeholders.
  • Coordinate with project teams to update and archive documents as necessary.

Cost Tracking and Budget Monitoring:

  • Assist in the development and maintenance of project budgets.
  • Monitor expenditures and track variances, providing regular updates to project managers.
  • Support the preparation of financial reports and forecasts
  • Ensure adherence to financial controls and procedures.

Procurement Coordination:

  • Manage procurement activities, including placing purchase orders and tracking supplier performance.
  • Ensure timely delivery of materials and services in accordance with project schedules.
  • Liaise with suppliers to resolve any issues and ensure compliance with contractual terms.
  • Maintain accurate records of procurement activities.

Logistics Coordination:

  • Oversee the logistics of equipment and materials, ensuring timely delivery to project sites.
  • Coordinate with logistics providers and internal teams to resolve any transportation issues.
  • Monitor inventory levels and coordinate restocking as necessary.
  • Ensure compliance with safety and regulatory requirements during transportation.

Stakeholder Communication:

  • Serve as a liaison between internal teams, suppliers, and clients.
  • Facilitate clear and effective communication to ensure project objectives are met.
  • Address any concerns or issues raised by stakeholders promptly.
  • Support the preparation and distribution of project updates and reports.

Reporting and Documentation:

  • Prepare and maintain project reports, including status updates, progress reports, and financial summaries.
  • Assist in the preparation of presentations for stakeholders.
  • Ensure all documentation is accurate, up-to-date, and accessible.
  • Support audits and reviews as required.

Is this you?

The ideal Project Control Coordinator candidate is a detail-oriented professional with a strong background in project administration, document control, and procurement within the oil & gas or heavy equipment sectors. They possess:

  • Minimum 3 years of experience coordinating complex projects, adept at managing deliverables through all project lifecycle stages.
  • Proficient in project management tools (e.g., MS Project, Primavera P6), MS Office, and familiar with Earned Value Management for accurate cost tracking.
  • Excellent organizational, multitasking, and time-management skills to thrive in fast-paced, high-pressure environments.
  • Strong communicator skilled in stakeholder engagement-liaising effectively with internal teams, suppliers, and clients to align objectives and resolve issues.
  • Strategic thinker and proactive problem-solver; anticipates risks, implements mitigation strategies, and maintains project momentum.
  • Familiar with scheduling, budgeting, and procurement coordination to drive projects toward timely completion within financial constraints.
  • Certifications such as PMP, CAPM, or equivalent are advantageous and demonstrate commitment to best practices in project control.
