Introduction

We are seeking a highly experienced and detail-oriented Document Control to manage and oversee document control activities across large-scale projects. Minimum of 10 years of experience in document management systems, ensuring compliance with company and industry standards. This role requires system expertise and the ability to coordinate across multiple departments and stakeholders.

What are you going to do

  • Oversee the document control process for multiple projects ensuring accuracy, quality, and integrity of information.

  • Develop and maintain document control systems (EDMS) such as Aconex, SharePoint, Procore, or similar.

  • Ensure all documentation complies with company standards and contractual obligations.

  • Manage incoming and outgoing documentation, including tracking revisions, approvals, and distribution.

  • Implement and maintain document numbering systems, file naming conventions, and metadata tagging.

  • Conduct audits and periodic reviews of documentation to ensure compliance with QA/QC standards.

  • Coordinate with project managers, engineers, subcontractors, and clients to ensure timely document flow.

  • Train, mentor, and supervise junior document controllers or administrative support staff.

  • Generate reports, logs, and KPIs for management and project teams.

  • Ensure document confidentiality and security protocols are enforced.

  • Support internal and external audits by providing required documentation in a timely manner.

Essential skills and knowledge 

  • Minimum 10 years of experience in a document control role, preferably in engineering, construction, or oil & gas.

  • Bachelor's Degree or Diploma in Business Administration, Information Management, or a related field is preferred.
  • Proven experience in managing EDMS platforms (e.g., Aconex, Asite, SharePoint, Documentum, etc.).

  • Strong knowledge of ISO 9001 and document management best practices.

  • Excellent organizational, analytical, and multitasking skills.

  • High attention to detail and accuracy.

  • Strong written and verbal communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
