Introduction

Senior Document Controller to lead and manage the document control process across projects and departments. Responsible for ensuring that all documentation is accurately managed, stored, distributed, and retrieved in accordance with company policies, contractual obligations, and applicable standards. This role requires leadership in setting up systems, enforcing procedures, and mentoring junior staff.

What are you going to do

  • Implement and maintain the document control system (electronic and physical).
  • Establish and enforce document control procedures, workflows, and standards.
  • Maintain accurate records of all project documentation including drawings, technical documents, contracts, submittals, transmittals, RFIs, and correspondence.
  • Assign and monitor document numbering, revision control, and distribution protocols.
  • Interface with project teams, consultants, contractors, suppliers, and clients to manage document flow and ensure timely approvals.
  • Monitor document schedules to ensure timely submissions in line with project milestones.
  • Coordinate with the quality department to ensure document compliance with QA/QC standards.
  • Supervise and mentor junior document controllers and administrative staff.
  • Conduct training sessions on document control systems and procedures.
  • Support audits and reviews by providing required documentation and records.
  • Generate reports on document status, outstanding reviews, and KPI tracking.
  • Ensure document control practices meet ISO 9001, contractual, and regulatory requirements.
  • Maintain confidentiality and security of project documentation.

Essential skills and knowledge 

  • Minimum 12 years of relevant experience in document control, with at least 3 years in a senior or supervisory role.

  • Diploma or Degree in Business Administration, Information Management, Engineering, or related field.

  • Strong understanding of document management systems (EDMS), such as Aconex, Procore, SharePoint, Asite, Documentum, or similar.

  • Familiar with document control requirements in industries such as construction, oil & gas, engineering, or infrastructure.

  • Advanced knowledge of document control standards and best practices.

  • High level of accuracy and attention to detail.

  • Proficiency in Microsoft Office Suite and EDMS platforms.
