Introduction

We are seeking a motivated professional who will support controlled processes for creating, reviewing, revising, issuing, and storing project documents and data. Assists with contractor interfaces by validating and tracking transmittals and deliverables. Helps configure review workflows, troubleshoot EDMS issues, and support related tools to ensure accurate, accessible project information and efficient document control practices.

What are you going to do

Duties and Responsibilities:

  • Provides support in validating, capturing, and tracking all transmittals, deliverables and other project records, information and data and supports in accepting them to the project EDMS.
  • Assists to configure and track project document reviews and provides support to assigned reviewers as needed.
  • With guidance, provides end users with support and assistance in researching or retrieving documents, basic use of project repositories and troubleshooting systems disruptions.
  • Supports the coordination of new user onboarding, account creation and access/permission approvals.
  • Works very closely with Project Management and the Information Management Manager to coordinate with contractor counterpart and internal document control team to manage deliverables.
  • Provides support in configuring and deploying workflow templates and distribution groups as needed.
  • Ensures documents and deliverables conform to project contract requirements, project procedures and company policy.
  • Coordinates with IT and contractors to verify and restore API and integration functionality during disruption events as needed.
  • Supports the review and validation of project KPI dashboard data and facilitates reconciling any discrepancies.
  • Performs other duties as assigned (no more than 5% of duties).

Qualifications:

  • High School diploma or GED required. Business, Information Management, Information Technology or Applied Sciences preferred.

Experience:

  • 3+ years of experience in Engineering Project Document Control and administration of EDMS systems required.
  • 3+ years of Project Document Control experience in the LNG, Oil & Gas, Energy Sector preferred.

Knowledge, Skills and Abilities:

  • Proficiency working with Microsoft Office suite applications, SharePoint Onine and O365.
  • Proficiency working with .pdf, AutoCAD, .csv file formats, electronic document management systems, data entry or other computer input preferred, quality management systems and processes.
  • Knowledge and understanding of business technology, technology platforms and integrations.
  • Knowledge and proven application of Document Control principles and practices.
  • Excellent interpersonal, verbal, and written communication skills.
  • Knowledge and understanding of business processes and Project Information Lifecycle.
  • Strong initiative with the ability to work independently as well as with a diverse, complex and broad project team.

Essential skills and knowledge 

Licenses and Certifications:

  • Aconex Accredited Associate required.
  • Electronic Document Management Systems (EDMS) required.
  • Certified Document Controller (Consepsys) preferred.
  • Business Process Management Specialist (AIIM) preferred.
  • Modern Records Management Specialist (AIIM) preferred.
