1. Administrative Support
- Provide comprehensive secretarial and administrative support to project managers and project teams
- Manage calendars, schedule meetings, and coordinate day-to-day administrative activities
- Ensure smooth operations of the project office
2. Documentation Management
- Maintain an organized and systematic filing system for all project documentation
- Ensure proper version control, tracking, and easy retrieval of project records
3. Meeting Coordination
- Arrange and coordinate meetings (internal and external)
- Prepare agendas, record meeting minutes, and distribute detailed notes
- Track action items and support follow-ups with stakeholders
4. Data & Reporting Management
- Perform accurate data entry and maintain project records
- Assist in preparing basic reports and documentation for project tracking
- Ensure proper documentation of meeting records and updates
5. Travel Arrangements
- Coordinate travel logistics for project team members
- Handle booking of flights, accommodation, and transportation efficiently
6. Additional Duties
- Support ad-hoc administrative and project-related tasks as assigned
Requirements
- Minimum 3 years of relevant experience in a similar administrative or secretarial role
- Prior experience in FPSO, Oil & Gas, or related industries is preferred
- Strong organizational and documentation skills
- Good communication and coordination abilities
- Proficient in MS Office applications
