Introduction

Executive Assistant to the CEO, serving as a key strategic partner and central point of contact, you will manage C-suite operations, streamline executive communications, and drive cross-functional alignment across high-stakes engineering, procurement, construction, and commissioning (EPC) projects.

What are you going to do

  • Executive Operational Support: Direct and streamline the day-to-day operational priorities of the CEO, including complex calendar management, executive schedule prioritization, and seamless travel logistics (domestic and international).

  • Board & C-Level Coordination: Manage board meetings, executive committee sessions, and key stakeholder interactions. Prepare agenda packs, draft high-level correspondence, record precise meeting minutes, and rigorously track action items to resolution.

  • Stakeholder & Project Interface: Act as a diplomatic bridge between the CEO's office and internal divisions (Project Control, Commercial, Engineering, Procurement, HSSE), as well as external entities including client representatives, joint venture partners, and government bodies.

  • Document & Presentation Control: Review, organize, and summarize high-level technical, operational, and financial reports. Synthesize complex project data into clean executive presentations and board decks.

  • Financial & Administrative Oversight: Oversee executive expense management, review operational documentation submitted for CEO approval, and maintain absolute confidentiality across sensitive corporate and commercial matters.

Essential skills and knowledge 

  • Experience: Minimum 4-7 years of experience providing high-level support to C-suite executives, ideally within EPC, Oil & Gas, Energy, Heavy Infrastructure, or complex industrial sectors.

  • Communication & Presence: Outstanding verbal and written English proficiency with strong assertiveness, refined corporate etiquette, and confident executive presence.

  • Core Competencies: Proven mastery of diary and travel management, minute-taking, action-item tracking, and cross-departmental coordination.

  • Adaptability & Initiative: Self-driven, calm under pressure, and highly capable of prioritizing complex tasks in a fast-moving, multi-project environment.

  • Technical Skills: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration/completion management tools.
