Introduction

We are seeking an experienced and highly professional Executive Assistant to provide direct administrative support to senior leadership within a fast-paced Oil & Gas environment. This role requires someone who is proactive, organized, detail-oriented, and capable of handling highly confidential information while supporting multiple priorities and changing schedules.

What are you going to do

Provide executive administrative support to senior leadership and project management teams
Manage complex calendars, scheduling, and meeting coordination
Coordinate domestic and international travel arrangements
Organize conferences, team meetings, events, and logistics
Book meeting rooms and ensure meeting information is accurate and updated
Prepare and process expense reports using systems such as SAP and Concur
Support onboarding and offboarding activities
Coordinate with assistants and teams across multiple office locations
Handle confidential and sensitive information with professionalism and discretion
Assist with executive communications, reports, and general administrative duties
Work closely with leadership teams to prioritize schedules and business needs

Previous experience as an Executive Assistant, Administrative Assistant, or Project Administrator
Experience supporting executive-level managers or leadership teams
Strong calendar management and meeting coordination experience
Experience coordinating travel arrangements and logistics
Proficiency with SAP, Concur, MS Office Suite, Outlook, Teams, and related systems
Excellent organizational and multitasking skills
Strong communication and interpersonal abilities
Ability to work independently in a fast-paced environment
Oil & Gas, Operators, EPC, or large corporate project experience preferred

Essential skills and knowledge

Experience supporting large-scale projects or multinational teams
Prior experience with major operators
Experience coordinating across multiple offices and time zones
