Introduction

We are seeking an experienced and highly professional Executive Assistant to provide direct administrative support to senior leadership within a fast-paced Oil & Gas environment. This role requires someone who is proactive, organized, detail-oriented, and capable of handling highly confidential information while supporting multiple priorities and changing schedules.

What are you going to do

  • Provide executive administrative support to senior leadership and project management teams
  • Manage complex calendars, scheduling, and meeting coordination
  • Coordinate domestic and international travel arrangements
  • Organize conferences, team meetings, events, and logistics
  • Book meeting rooms and ensure meeting information is accurate and updated
  • Prepare and process expense reports using systems such as SAP and Concur
  • Support onboarding and offboarding activities
  • Coordinate with assistants and teams across multiple office locations
  • Handle confidential and sensitive information with professionalism and discretion
  • Assist with executive communications, reports, and general administrative duties
  • Work closely with leadership teams to prioritize schedules and business needs

  • Previous experience as an Executive Assistant, Administrative Assistant, or Project Administrator
  • Experience supporting executive-level managers or leadership teams
  • Strong calendar management and meeting coordination experience
  • Experience coordinating travel arrangements and logistics
  • Proficiency with SAP, Concur, MS Office Suite, Outlook, Teams, and related systems
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Ability to work independently in a fast-paced environment
  • Oil & Gas, Operators, EPC, or large corporate project experience preferred

Essential skills and knowledge 

  • Experience supporting large-scale projects or multinational teams
  • Prior experience with major operators
  • Experience coordinating across multiple offices and time zones
