What are you going to do

We are seeking a Planning Technician II to support project coordination, reporting, documentation, data tracking, and communication across a global project organization.

The position will serve as a central coordination point for project requests and information. The successful candidate will work with multiple teams and stakeholders to track actions, coordinate responses, maintain project documentation, and support consistent processes and reporting.

* Coordinate project queries by receiving, organizing, routing, and tracking requests through resolution.

* Coordinate with subject matter experts and response owners to support timely responses.

* Track actions, commitments, deadlines, requests, and responses through closure.

* Prepare and coordinate periodic and ad hoc project reports.

* Consolidate information from multiple project functions and review information for completeness and consistency.

* Maintain correspondence logs and coordinate document review, approval, and distribution.

* Support onboarding and mobilization activities by maintaining procedures, checklists, trackers, and related documentation.

* Develop and maintain procedures, templates, work instructions, and process documentation.

* Identify opportunities to standardize and improve recurring administrative and coordination processes.

* Support workflow tracking, dashboards, and reporting tools.

* Monitor deadlines, bottlenecks, recurring issues, and outstanding actions.

* Provide concise project updates and summaries for management review.

* Coordinate communication across international teams and different time zones.

* Experience supporting major capital projects, energy projects, engineering organizations, joint ventures, consortiums, or other complex project environments.

* Experience coordinating partner, customer, government, or external stakeholder requests.

* Experience with action tracking, commitment management, correspondence control, or resolution workflows.

* Experience supporting contractor, partner, or secondee onboarding and mobilization.

* Experience developing dashboards and management metrics.

* Experience documenting and improving business processes.

* Experience with Airtable, Power BI, Power Automate, Aconex, or similar tools.

* Familiarity with document control, approval workflows, records management, and auditability.

* Experience working with international teams and across multiple time zones.

* Portuguese language skills are considered an asset.

Work Environment

This is an onsite position based in The Woodlands, Texas. The role requires regular coordination with teams located across different regions and time zones.

No domestic or international travel is required.

Essential skills and knowledge 

* Bachelor's degree or equivalent relevant professional experience.

* Approximately 5 years of relevant experience preferred.

* Experience in project coordination, project administration, business operations, reporting, stakeholder coordination, or a comparable role.

* Strong organizational skills with the ability to manage multiple requests, deadlines, and contributors.

* Ability to work effectively in an environment where processes and priorities may change.

* Strong written communication and document development skills.

* Ability to consolidate information into clear and organized reports and briefing materials.

* High attention to detail.

* Ability to work across different organizational teams and follow up on outstanding actions.

* Proficiency with Microsoft 365, particularly Outlook, Teams, Excel, PowerPoint, Word, and SharePoint.
