Introduction

We are seeking an experienced Formalities & Logistics Coordinator to support an EPC project environment. This role focuses on expatriate formalities and logistics coordination, including documentation, permits, travel, accommodation, and general administrative support to ensure smooth project execution.

The ideal candidate has experience in EPC project support and strong coordination skills in managing expat-related requirements in a fast-paced project setting.

What are you going to do 

  • Coordinate expatriate formalities including visa, work permits, and other legal documentation
  • Arrange and manage travel logistics (flights, airport transfers, mobilization/demobilization)
  • Coordinate accommodation and site living arrangements for expatriate personnel
  • Handle onboarding and administrative support for incoming expats
  • Liaise with internal teams, vendors, and authorities to ensure compliance with project requirements
  • Maintain accurate records of personnel documentation and logistics status
  • Support daily logistics needs of expatriate staff during project execution
  • Ensure all processes comply with project standards and applicable regulations
  • Provide timely updates and reporting on expat logistics status to project team
  • Assist in resolving any logistical or administrative issues related to expatriate personnel

Essential skills and knowledge 

  • Indonesian citizenship
  • Minimum Diploma/Bachelor's degree in any relevant field
  • Minimum 7-10 years of experience in EPC, construction, or project-based environment
  • Experience handling expatriate formalities (visa, work permit, immigration processes)
  • Strong background in logistics coordination (travel, accommodation, mobilization)
  • Familiar with project administrative systems and documentation control
  • Good understanding of compliance requirements in project environments
  • Strong coordination and stakeholder management skills
  • Able to work under pressure and manage multiple tasks simultaneously
  • Good communication skills in English (written and spoken)
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Detail-oriented, proactive, and well-organized
