Introduction / Job Summary

Responsible for overseeing the day-to-day operations of consultant mobilization, global mobility, compliance, and client/consultant support. This role acts as a key liaison between consultants, clients, and internal teams, ensuring a seamless experience across the employee lifecycle. The Team Lead provides leadership, guidance, and coaching to the operations team, drives process improvements, and ensures adherence to compliance standards and client expectations.

Job Responsibilities
1. General Operations

  • Collaborate cross-functionally with Sales, Commercial, and Finance teams on client/consultant mobilization matters.
  • Provide client management and advisory support, ensuring a high level of service delivery.
  • Deliver “white-glove service” to VIP consultants to ensure premium support experience.
  • Review and ensure accuracy of employment contracts before issuance to consultants.
  • Verify and collect all consultant documentation for payroll, tax, and insurance enrolment.
  • Arrange and check compliance-related requirements (e.g., background checks, drug & alcohol testing, OGUKmedicals, offshore training).
  • Maintain strict adherence to compliance procedures and client-specific requirements.
  • Support emergency response management in coordination with Head of Operations - Asia.
  • Coach, mentor, and guide Operations Administrators to ensure team development.

2. Global Mobility

  • Provide end-to-end mobility support, including flights, accommodation, local transport, movers, and schooling needs for consultants relocating.
  • Review and monitor team members’ applications for work passes, renewals, and dependent passes.
  • Oversee onboarding of consultants by ensuring they receive all required documentation (client policies, payroll calendar, timesheets, insurance information, etc.).
  • Manage business visa applications for consultants when required.

3. Support & Coordination

  • Oversee team mailboxes, ensuring timely responses and proper routing of client queries within SLA.
  • Ensure smooth running of daily operations, with minimal disruption.
  • Maintain up-to-date consultant details and placement records in internal systems.
  • Monitor and track MOM passes, ensuring timely renewals and cancellations.
  • Assist with monthly audits of insurance enrolment and deactivation.
  • Liaise with Finance on payroll-related matters (income tax, benefit-in-kind, claims, etc.).
  • Continuously review and improve processes, eliminating inefficiencies and driving operational.

Essential experience, knowledge, Skills and abilities

  • Diploma/Degree in Business Administration, HR, Operations, or a related field.
  • Minimum 5–7 years of operations or HR experience, with at least 2 years in a supervisory/team lead role.
  • Proven experience in consultant management within engineering, construction, energy, or recruitment industries preferred.
  • Strong knowledge of compliance procedures (immigration, tax, insurance, payroll, training certifications).
  • Familiar with HR/Operations systems and proficient in Microsoft Office Suite.
  • Excellent interpersonal and communication skills, with strong client-facing abilities.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple priorities and deliver results under pressure.
