Introduction

  • Leads the Document Control, Correspondence and Information Management activities on NFE Onshore Project. Maintains the integrity of Information Management procedures including documentation workflow and storage of technical project data and documentation both hardcopy and electronic. Responsible for operating Project documentation via COMPANY EDMS and ensuring project documentation flows between locations and departments (PMT and EPC Contractor) according to approved plans and procedures during all phases of project execution;
  • The nature of the work will have some non-routine work scope and requires independent evaluation to establish the most appropriate course of action and allocation of resources. Job holder applies technical expertise, excellent communication and interpersonal skills to build collaborative relationships in support of multiple project activities. Incumbent to demonstrate good organization and flexibility;
  • Major challenges include (i) operating in a dynamic and often challenging environment and (ii) working within tight timeframes.

What are you going to do 

  • Coordinate all NFE Onshore Project documentation;
  • Oversee receipt and distribution of documents received by transmittal from the Contractor’s Document Controller for correctness and completeness ensuring alignment with Document Distribution Matrix (DDM);
  • Conduct distribution via COMPANY EDMS to appropriate personnel to action as required in accordance with Project Management Team (PMT) requirements and ensure timely follow up on open and overdue document reviews in accordance with PMT requirements;
  • Support the PMT in all matters related to technical documentation and correspondence ensuring alignment and understanding on information management requirements to meet Company’s expectations at final handover and project close-out;
  • Check distribution for outgoing and internal transmittals, ensuring Transmittal Tracking System is accurately maintained;
  • Support Head Documentation to review all project related documentation processes ensuring these support end user requirements. Identify and recommend process improvements as necessary;
  • Coordinate the Electronic Library System (ELS) activities ensuring letters, Minutes of Meeting, Record of Conversation, Internal Memorandum and Contractor’s Circulars are accurately recorded;
  • Control archive security, location planning and space optimization ensuring the requisite balance between onsite and offsite storage for easy access and retrieval of data and documentation is achieved;
  • Responsible for the Final Documentation handover process for NFE Onshore Project ensuring data and documentation is available to all relevant parties within agreed parameters;
  • Distributes incoming documents electronically for review and approval in accordance with Document Distribution Matrix (DDM) and provides weekly reports on documents received with outstanding replies.

Essential skills and knowledge

  • Diploma in Computer Science, Library Services, Business Administration or equivalent;
  • 8 years’ document control experience preferably in a technical project environment together with archiving experience within the oil and gas industry;
  • Excellent skills in written and spoken English;
  • Strong communication and interpersonal skills;
  • Strong computer skills and understanding of engineering and IT terminology;
  • Good organizational and attention to detail skills;
  • Proficient in document control and databases.
