Brunel Energy is recruiting a Documentation Specialist to work with a major oil and gas company on a 12-month contract in Spring, TX.

Summary

The Documentation Specialist will serve as the primary point of contact for document management activities, responsible for designing, implementing, and maintaining a document management program. This role will gather existing documentation, receive new documentation, and ensure all information is accurately entered into the appropriate data repositories. The position will work closely with project teams, asset teams, and system owners while maintaining a master facility and status tracker to monitor program progress.

Key Responsibilities:

Information Management

  • Gather and distribute existing documentation to support document creation and verification workflows.
  • Receive, review, and ensure proper entry of new and updated documents into the appropriate data repositories.
  • Work across multiple systems, including Aconex, SAP, and other document management platforms.
  • Ensure facility information is accurate, current, accessible, and properly controlled.
  • Ensure compliance with company information management requirements and procedures.
  • Provide support and guidance to document control, information management, and data management personnel as needed.
  • Deliver training to project teams and contractors on document management requirements, processes, and systems.
  • Ensure information management requirements are incorporated into project workflows and contractor deliverables.
  • Monitor contractor compliance with document management requirements.
  • Manage the collection and submission of final project documentation into company data repositories.
  • Verify document quality, accuracy, and data structure before submission.
  • Manage document and data flow between project teams, contractors, and company systems.
  • Support project leadership by maintaining document management procedures, templates, tools, and tracking systems.
  • Develop and maintain key document control tools, including document registers, distribution matrices, templates, and tracking logs.
  • Maintain document management systems, including user access and issue resolution.
  • Coordinate final documentation handover with project teams and system owners.

Program Tracking

  • Develop and maintain a master facility, status, and deliverables tracker.
  • Maintain project tracking information with the latest updates from project and asset teams.
  • Generate reports showing project status, completion percentages, and other key metrics.

Essential skills and knowledge

Qualifications:

  • 5+ years of experience in document control, information management, or documentation support.
  • Experience using document management systems such as Aconex, SAP, or similar platforms.
  • Proficient in Microsoft Office Suite
  • Strong understanding of document control processes and data management.
  • Experience working in the oil & gas, energy, industrial, or EPC industries preferred.
  • Strong organizational, communication, and attention to detail skills.
