About this role

This is an excellent opportunity for a talented individual with strong administrative, planning, computer and organizational skills. You are willing to go the extra mile to meet or exceed customer expectations. As a Legal Assistant you’ll be providing primary legal and administrative support to Patent Attorneys, Patent Agent and Legal Analysts as needed. You will complete all of this while maintaining a high level of confidentiality surrounding sensitive information and data. You will be providing backup legal and administrative support to additional members of the Intellectual Property Law Group, as needed in times of heavy demands and/or absence of other team members.

Your Duties:

There’s a major scheduling component to this role, such as organizing the overall calendar for events, and travel preparations. You will be preparing complex international and domestic travel itineraries and ground transportation logistics such as travel related documents preparation. This may require researching background information before a trip, and will definitely entail handling detailed expense claims afterwards.

You’ll be closely involved in logistics in the office: handling all administrative assistant responsibilities for assigned attorneys and legal analysts, creating presentations, editing documents, scan documents into the legal software system, revising contracts, and keeping the document management systems up to date. With your strong eye for detail, you will be involved in proof reading, checking documents adhere to company standards.

  • Preparing and filing documents using USPTO and ePCT electronic filing systems;
  • Preparing documents for all stages of U.S., PCT and National Phase patent prosecution, including drafting of transmittals, responses to missing parts, assignments and declarations, information disclosure statements, and application data sheets;
  • Analyzing and collecting patent application information and documentation;
  • Maintaining and managing patent docket to ensure deadlines are met;
  • Reviewing work product to ensure it is of high quality and meets department standards;
  • Managing purchasing card charges and reconciling monthly statements;
  • Effectively works with other internal support groups (IT, CBRES, etc.) to provide superior support to attorneys and the Law Function;
  • Organizing and coordinating meeting logistics for daily, weekly, monthly and annual events. Meeting logistics include: catering, scheduling meeting rooms, arranging WebEx conference calls, connecting video conferences, facilitating meetings, and e-mailing meeting notices, agendas and other key information

About you

Required:

  • High School Diploma or equivalent;
  • Experience working with IP (Intellectual Property) attorneys;
  • 5-7 years’ experience filing and prosecuting US and Foreign patent applications.

Highly Desirable:

  • Bachelor’s degree;
  • Patent Paralegal Certificate;
  • Notary Public;
  • General knowledge of the oil and gas industry;
  • Experience working with IP Manager® or other docketing software.

Your Skills:

  • Proficient in both US and Foreign patent prosecution, including USPTO and ePCT rules and procedures, and capable of typing, formatting and revising complex documents;
  • Solid MS Office (Adobe (PDF), PowerPoint, Word, Excel, Outlook, TEAMS, OneNote, etc.);
  • Ability to set priorities, be flexible in adapting to assignment changes and remain calm under pressure, with the ability to handle multiple tasks simultaneously;
  • Self-motivated, learns quickly, anticipates the needs of management.
