About this role

As a Legal Administrative Assistant will be providing direct administrative support to a group of attorneys and legal analysts. You’ll establish a professional relationship with your team, clients and other departments, which means maintaining effective communications with peers, attorneys, managers and leaders.

In this role you’ll be handling all administrative assistant responsibilities - managing calendars, coordinating meeting logistics, preparing pre-read, and creating presentations.

Your legal responsibilities will include revising contracts, updating matters in the matter management system, and editing documents.

Fasttrack your career with some solid administrative experience in a legal setting. If you are interested beyond the initial 6 month contract, an extension may be feasible.

Other duties include:

  • Tracking and gathering related expenses and compiling expense reports;
  • Setting up new vendors, processing invoices, preparing correspondence;
  • Coordinating domestic and international travel logistics. Providing background information for meetings and trips;
  • Your job will take place in a fast moving environment where multiple tasks can happen simultaneously. You will need to prioritize tasks to changing needs and deadlines;
  • You will have to be flexible while maintaining your good judgement to make sound decisions in these situations.

About you

Required:

  • As a Legal Administrative Assistant you will be a highly trusted individual within the company. You’ll be exposed to confidential information on a daily basis. It is vital that you discreetly handle that information;
  • High School Diploma/GED required, College degree preferred;
  • 8+ years’ secretarial and administrative experience within an Enterprise or corporate environment;
  • Strong experience maintaining calendars, organizing and maintaining office files, scheduling meetings, and making travel arrangements, creating expense reports.

Highly Desirable:

  • Strong secretarial and administrative experience within a law firm or in-house legal department strongly preferred;
  • Experience planning domestic and international travel strongly preferred;
  • Experience with e-billing and matter management;
  • Experience setting up vendors in a payment system.

Your Skills:

  • Able to handle multiple projects simultaneously, with focus on completion, to a high level of performance;
  • Intermediate to advanced MS Office (Adobe (PDF), PowerPoint, Word, Excel, Outlook, SharePoint;
  • Strong organization skills and attention to details are crucial.
