About this role

Your role as Administrative Assistant position will provide direct administrative support to the legal group in Houston and provide back-up support as needed. Your position requires you to be a high energy individual who can work independently as well as in a team. You’ll need to demonstrate the ability to multi-task and use independent judgment. You should be able to discreetly and routinely handle confidential information, and establish a positive and professional working relationship you’re your team members, clients and other staff members.

Your expected salary is about $60,000 depending on qualifications.

Your responsibilities for this position will be:


  • Administrative support to attorneys and maintaining a high level of confidentiality surrounding any sensitive information/data and supporting other team members
  • Filing, Office docs-Maintaining complete, orderly files and records, as needed, at work location
  • Managing purchasing card charges and reconciles monthly statements
  • Assisting with other duties and special projects, as assigned by Supervising/Managing Counsel and other team members
  • Effectively working with other internal support groups (IT, etc.) to provide superior support to attorneys and other team members
  • Serving as a back up to other administrative support in Legal and the Business Unit


  • Drafting, formatting, and revising legal documents including complex agreements. You’ll proofread them to assure accuracy and coherency. Generates reports, presentations and other communications
  • Handling and processing settlements, e-billings, invoices, and payments within the legal matter management software system, TeamConnect


  • Organizing meeting logistics for daily, weekly, monthly and annual events. Meeting logistics include: catering, scheduling meeting rooms, scheduling activities and events, arranging WebEx calls, setting up equipment for video conferencing, and emailing meeting notices, agendas and other key information
  • Making travel arrangements for both domestic and international travel. Assisting with any travel related visa/immigration document preparation
  • Preparing travel and other business-related expense reports which include inputting, tracking and reconciling

About you


  • 8+ years’ experience as a legal administrative assistant or in other positions with similar tasks and responsibilities;
  • Previous litigation experience;
  • Proficient in SAP, SharePoint, and data.

Highly Desirable:

  • Bachelor's degree;
  • General knowledge of legal concepts and processes;
  • Experience working in a legal department or law firm
    You must be able to communicate in a clear, concise and effective manner. This position will require you to listen and takes directions quickly while maintaining a tactful and professional demeanor.

Your Skills:

  • Intermediate to advanced MS Office (Adobe (PDF), PowerPoint, Word, Excel, Outlook, TEAMS, OneNote, etc.);
  • Ability to handle multiple tasks simultaneously and adapt to changing needs and deadlines;
  • Ability to discreetly handle confidential information;
  • Strong organization skills and attention to details are crucial.
