FPSO Lead Document Controller is responsible for the execution of document control activities within the Client Project’s FPSO scope of work during FEL3 and Execute project phases. This includes managing receipt, filing, reporting and distribution of documents and correspondence records for Client FPSO activities in accordance with project and company requirements.

About this role

Key Accountabilities

  • Serve as the single point of functional expertise with respect to receiving and distributing contractor documentation within given area of responsibility;
  • Ensure contractor deliverables are tracked and correctly reported in contractors’ document management reports;
  • Actively interface with the lead engineers and quality team to ensure the accuracy and integrity of the project data;
  • Collaborate with Client project and operations staff to ensure the timely and accurate handover of final documentation at project close out.

Key Responsibilities

  • Distributes documents to relevant parties using appropriate matrices and tracking procedures;
  • Manage workflows for the distribution, review and commenting of contractor documents;
  • Expedites delivery of information from project personnel, contractors and suppliers;
  • Provides training to project personnel on the use of the document control software (PIMS, SharePoint) as well as ensuring compliance to document management requirements;
  • Interfaces with internal project team and contractors providing them with the projects requirements for document numbering, file transfer, completion of metadata, preparation and issue of SDDL;
  • Manages departmental functional mailbox to ensure acceptable turn-around times are met;
  • Communicates and promotes awareness of processes and standards where required;
  • Runs and maintain business reports as required, including;o Outstanding document review and approvals status;
    o Document validity and expiration reports;o Planned documents matrix;
  • Identifies and analyses documentation project trends; suggest and contribute to business effective enhancements;
  • Supports IM projects and initiatives.

About you

Experience & Qualifications

  • Tertiary level qualification (diploma or degree) preferred;
  • 5+ years document control experience in upstream oil and gas projects;
  • Experience of Document Management work processes, tools and information products in support of effective Document Control;
  • Familiarity with file viewing and mark-up software;
  • Strong IT communications and skills;
  • Ability to work under the pressures of a major capital project;
  • Experience in the provision of training/coaching and support services;
  • Self-motivated with ability to work using initiative and with minimum supervision;
  • Exposure to/experience with Pims (information management system software provided by Omega).
