About this role

As Administrator for this significant international energy company, you’ll be working out of the office in Santa Barbara, CA. You’ll be juggling the usual demands for a busy team – managers’ calendars, event planning, logistics for meetings (catering, WebEx and videoconferencing calls) and the associated paperwork – keeping team members informed, crafting agendas and chasing down key information. There’s all the essential responsibilities to keep the office running smoothly – purchasing office supplies, keeping printers stocked and maintained, and management of occasional office moves, space planning and furnishings.

There’s a travel administration element in here too – you’ll be researching travel options, preparing itineraries, and issuing travel documents. You’ll also be managing some arrangements for visitors coming to the office, such as local transportation, flight changes, and sharing top tips to make the most of beautiful Santa Barbara.

You’ll be involved in day-to-day IT support issues as well as maintaining filing systems and distribution lists.

You’ll be working with confidential information such as organizational charts, onboarding and offboarding of employees and contractors, so discretion is essential.

About you

Your Microsoft Office skills will be top notch, and you’ll be a confident and experienced administrative assistant, used to working in diverse teams. You’ll be organizing yourself and prioritizing your own work, so you’ll be a self-starter, resourceful and adaptable.

If you are self-motivated, can learn quickly and anticipate needs, and can handle multiple tasks, then you will thrive in this role. It’s ideal for someone who can organize and support others, who is willing to learn new systems and will be a valued member of the project team.

Must haves:

  • High School Diploma or equivalent required (Bachelor Degree preferred)
  • 8-10 years+ experience of busy office environments, supporting multi-functional teams
  • Computer literate, willing to learn new systems

This Administrator position in Santa Barbara, CA is a temporary role supporting a project team for 1 to 3+ years. There’s some flexibility, and working hours may be negotiated (9am-3pm may be an option).
