About this role

As Administrator for this significant international energy company, you’ll be working out of the office in San Ramon, CA. You’ll be juggling the usual demands for a busy team – managers’ calendars, event planning, logistics for meetings and the associated paperwork – keeping team members informed, crafting agendas and chasing down key information. There’s all the essential responsibilities to keep the office running smoothly – ordering office supplies, keeping printers stocked and maintained, maintaining records management systems, plus basic bookkeeping work.

You’ll be working with confidential information so discretion is essential.


  • Preparing invoices, reports, memos, letters, financial statements, and other documents
  • Filing and retrieving corporate documents, records, and reports
  • Reading and analyzing incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Preparing agendas and making arrangements for committee, board and other meetings

About you


  • High school diploma or GED required
  • 8-10 years administrative assistance experience required
  • Experience working with executives highly preferred

Your Skills:

  • Strong experience maintaining calendars, organizing and maintaining office files, scheduling meetings, and making travel arrangements, creating expense reports
  • Intermediate to advanced MS Office (Adobe (PDF), PowerPoint, Word, Excel, Outlook, SharePoint
  • Ability to discreetly handle confidential information
  • Strong organization skills and attention to details are crucial
