About this role

Your role as Legal Administrative Assistant position will provide direct administrative to support a group of attorneys and legal analysts within their unit. Your position requires you to be a high energy individual who can work independently as well as in a team. You’ll need to demonstrate the ability to multi-task and use independent judgment. You should be able to discreetly and routinely handle confidential information, and establish a positive and professional working relationship you’re your team members, clients and other staff members.

For the right candidate this position can be potentially extended after 6 months.

Your Duties include:

Handling all administrative assistant responsibilities for assigned attorneys and legal analysts, including managing calendars in Outlook, coordinating meeting logistics, preparing pre-read, creating presentations, editing documents, revising contracts, updating matters in the matter management system, setting up new vendors, processing invoices, preparing correspondence.

Coordinating domestic and international travel logistics. Prepares detailed itineraries. Provides background information for meetings and trips. Tracks and gathers related expenses and compiles expense reports.

  • Sets up and maintains files, processes invoices and performs general clerical duties;
  • Maintains effective communications with peers, attorneys, managers and leaders;
  • Provides back-up/relief to other legal assistants.

About you


  • High School Diploma/GED required
  • 8+ years’ secretarial and administrative experience within an Enterprise or corporate environment

You must be able to communicate in a clear, concise and effective manner. This position will require you to listen and takes directions quickly while maintaining a tactful and professional demeanor.

Highly Desirable:

  • College Degree preferred;
  • Strong secretarial and administrative experience within a law firm or in-house legal department strongly preferred;
  • Experience planning domestic and international travel strongly preferred;
  • Experience with e-billing and matter management;
  • Experience setting up vendors in a payment system.

Your Skills:

  • Strong experience maintaining calendars, organizing and maintaining office files, scheduling meetings, and making travel arrangements, creating expense reports;
  • Intermediate to advanced MS Office (Adobe (PDF), PowerPoint, Word, Excel, Outlook, SharePoint;
  • Ability to discreetly handle confidential information;
  • Strong organization skills and attention to details are crucial.

Your job will take place in a fast moving environment where multiple tasks can happen simultaneously. You need the ability to handle multiple tasks at once while prioritizing the tasks to changing needs and deadlines. You will have to be flexible while maintaining your good judgement to make a sound decision in these situation.
