We’re hiring a Contract Manager for our client to join their team! This is a 16-month contract opportunity where you will be responsible for the Management of Document Control tasks for mid-size projects.

Responsibilities

  • Assign all new drawing/document and tag numbers, working with key Project contacts and ME DC as required
  • Reserve all new drawing/document numbers and revise to the correct project in SmartPlant Foundation (SPF)
  • Revise all existing drawings/documents for modification to the correct project in SPF
  • Reserve all new tags (equipment, piping, instrument, electrical, etc.) and claim to the correct project in SPF
  • Claim all existing tags (equipment, piping, instrument, electrical, etc.) for modification to the correct project in SPF
  • Formally transmit all drawing/document numbers, drawing/document native files, tags, standards, procedures, and other documentation and information related to Controlled Engineering Information as required, along with all appropriate metadata, revision numbers, etc. to external contractors
  • Create and maintain a database of all native files, drawing numbers, tags, etc. created for and modified by the Project, including those issued to and returned by all external contractors
  • Compare all drawing/documents and tags received by the Project against the database to identify anything that is missing at each stage of the Project and retrieve anything outstanding
  • Obtain and keep record of all indexes (mechanical, instrument, electrical, piping, etc.) and compare to the database as required
  • Obtain and submit all IFC drawings/documents to the IFC Workflow in SPF
  • Process all IFC Workflows in SPF, unless directed otherwise by ME DC
  • Obtain and input all appropriate metadata and relationship data in SPF at the IFC stage
  • Provide training for external contractors to populate SPF load file templates for drawing numbers, drawings, documents, tags, metadata and relationships and work with SPF Administrators to ensure SPF is up to date at each stage of the Project
  • Manage and distribute IFC CWP and Commissioning packages to the field
  • Input all supplier documentation for new and modified equipment in SPF at the IFC stage and As-Built stage, as required, working with key Project contacts to ensure modified equipment documentation is updated correctly
  • Update all OOSE and DEMO’d equipment in SPF
  • Update OOSE & DEMO’d hard copy equipment files, including preparing and sending DEMO’d equipment files to Records Offsite Storage (ROSS), working with ME DC as required
  • Work with discipline leads as required to collect all necessary engineering data that has not been formally transmitted
  • Receive, track, and manage all construction and commissioning redlines
  • Coordinate the As-Builting effort from a Document Control perspective at the end of the Project (ensuring internal or external resource receives all redlines, etc.)
  • Obtain and submit all As-Built drawings/documents to the As-Built Workflow in SPF
  • Process all As-Built Workflows in SPF, unless directed otherwise by ME DC
  • Obtain and submit all Void drawings/documents to the Obsolete Workflow in SPF
  • Process all Obsolete Workflows in SPF, unless directed otherwise by ME DC
  • Provide all required hard copies of Project documentation and coordinate with ME DC to ensure all hard copy documentation is filed correctly
  • Create all new hard copy equipment files and coordinate with ME DC to ensure they are filed correctly
  • Perform audits (in conjunction with EIM, as required) to ensure standards and procedures are being adhered to throughout the Project
  • Review and influence any Document Control standards and procedures created and utilized by external contractors to ensure they do not conflict with standards and procedures
  • Work with all external contractors and project resources to ensure a thorough understanding of Document Control standards and procedures
  • Provide training and answer questions about Document Control standards and procedures
  • Work with ME DC, Project Manager(s), and other key individuals to devise, implement, and officially document any Document Control Variances required by the Project
  • Transfer project documentation from the EC document management system to document management system

  • High School Diploma is required
  • Post-secondary education would be considered an asset
  • Minimum of 5 years of relevant industrial experience
  • Proficient computer skills including word and excel
  • Previous experience with SAP is considered an asset
  • Previous experience working with time systems or material receiving
  • Familiarity with SmartPlant Foundation is an asset
  • Excellent written and verbal communication skills
