About this role: Legal Administrator

We are seeking an enthusiastic and professional person to join us as a temporary part-time Legal Administrator at our clients Head Office, supporting the day-to-day administrative needs of our Legal and Joint Venture department. You will work on a team with other Legal Administrators and Paralegals and report to the Paralegal Coordinator.

Duration: 12 months Hours of Work: Part-time hours will be 7 hours 4 days per week

  • Provide general administrative support to a high-performing group of attorneys and other professionals within the Legal and Joint Venture department
  • Coordinate and manage the processing of invoices sent from external law firms, and work with others across the clients to ensure legal spend is allocated appropriately and paid on a timely basis
  • Assist in daily monitoring of the Legal Administrator email inbox and respond to service requests and inquiries
  • Coordinate meetings with both internal and external participants as needed
  • Prepare and gather materials for meetings and presentations; includes proofing, formatting, and light research; may include distributing materials and routine meeting facilitation
  • Coordinate and manage complex travel arrangements (including international) upon request
  • Prepare and file expense reports as needed
  • Track external legal spend and provide monthly reporting to paralegal for budget preparation
  • Manage required electronic/paper filing systems for teams, including maintenance and basic design of SharePoint sites
  • Coordinate and manage critical internal processes and systems (e.g., SAP) for the team; serve as a resource to others for accessing and using internal systems
  • Support onboarding activities of new hires and transfers as well as offboarding activities as required
  • Lead and/or support in the arrangements for in-house and external events
  • Handle routine and non-routine issues. Initiate appropriate action in the case of sensitive/urgent issues and may participate in their resolution


  • College diploma or undergraduate degree is required
  • 4-8+ years of experience supporting a team of professionals in a fast-paced environment
  • Experience with booking high profile meetings and complex travel arrangements
  • High attention to detail and excellent skills in Excel, Word, PowerPoint, Outlook, Teams, SharePoint, and SAP
  • Strong interpersonal and communication skills. Has the ability to deal comfortably with employees at all levels of the organization, as well as external contacts, stakeholder representatives and customers
  • Ability to anticipate needs, problem solve and respond quickly, and maintain confidential company information
  • Extremely motivated, eager to learn and adaptable, with keen ability to understand priorities and preferences
  • Ability to build relationships; uses diplomacy, tact, and discretion in dealing with sensitive matters
